The post holder will be switchboard supervisor within a busy NHS Trust, responsible for managing switchboard related services and the associated team across the entire Trust.  If successful, you will ensure the smooth running and effective management of the switchboard via provision of high quality telephony and some face to face services.

Role objectives:

  • Management, training, support, 1-1s, team meetings of the 24*7 switchboard team
  • Review and maintenance of the staff rota
  • Review, update, creation and training of Standard Operating Procedures covering all areas of the switchboard operation
  • Responsibility for overall management of the switchboard
  • Management of bleep/ paging services including relationship with 3rd party provider
  • To ensure the office is fully equipped with all stationary that is needed to provide the service
  • Work as a part of the team within the department including covering on the phones where necessary to maintain services
  • Introduction of switchboard KPIs
  • Provision of regular switchboard KPI reporting including further recommendations for future service Improvements
  • Escalation point for challenging calls / walk Ins
  • To receive and direct medical gas alarms, crash calls and all major Incident emergencies
  • To be fully conversant with and follow hospital procedures in respect of cardiac arrest, fire, major Incident etc..
  • To receive and action lift alarms including conversing with distressed callers trapped in the lift
  • Reporting of urgent alarms and faults on main switch to on site engineers or service provider out of hours
  • Contact point for Trust major Incidents to ensure team are kept up to date and advised of requirements
  • To supervise tests to SGH teams
  • To be familiar with all duty lists of on-call staff, and other hospitals as central control
  • To follow up on-arrival of rota’s contacting secretaries and business managers
  • To receive and action any alterations to existing rota’s
  • Knowledge of medical terminology
  • To receive and action any emergency calls for the on-site maintenance engineers
  • To receive and action all calls for on call personnel
  • To maintain / update internal staff directory
  • To send and receive fax documents
  • To update personal information from changes book
  • To cover duties on bank holidays
  • To be available to change duties and work unsociable hours at short notice to ensure continuation of service
  • To carry out other duties as requested by your manager

Expected outcome:

  • Successful management of the switchboard team and provision of a high quality and consistent switchboard service
